Standard Document Package

The following four documents ship with every Vajra order — automatically, without needing to be requested. No order is despatched without this package being complete.

MTC-3.1

Material Test Certificate — EN 10204 3.1

Every Order

Document Contains

  • Chemical composition (C, Mn, Si, S, P, Cr, Ni, Mo — per ASTM/EN specification)
  • Mechanical properties: tensile strength, yield strength, elongation, reduction of area
  • Impact test (Charpy) values where specified (low-temperature service, API 6D)
  • Heat treatment details: normalised, quenched & tempered, solution annealed
  • Heat number and cast number — traceable from raw material to finished valve
  • Issued by manufacturer's authorised quality representative

EN 10204:2004 — Type 3.1

Applies To

Body, bonnet, disc/ball/wedge, stem — all pressure-retaining parts

3.1 is the industrial minimum. For critical service, 3.2 (independent lab certification) available on request.

HYDRO

Hydrostatic Shell & Seat Test Report

Every Order

Document Contains

  • Shell test: test pressure, duration, test medium (water/kerosene), result
  • Seat leakage test: test pressure, duration, leakage measured in drops/min or cc/min
  • Backseat test (gate and globe valves): test pressure, duration, result
  • Low-pressure air seat test (0.6 MPa) where specified by client
  • Test equipment calibration reference, tester name, date
  • Inspector signature (Vajra QC) — TPI witness signature where applicable

Governing Standard

API 598 / ISO 5208 — Leakage Class as specified

Applies To

Every valve — no exceptions

Leakage class (API 598 Class IV standard; Class V or VI on request for tight shutoff service) stated in quotation.

DIM

Dimensional Inspection Report

Every Order

Document Contains

  • Face-to-face dimension per ASME B16.10 / EN 558 / API 6D
  • End flange dimensions per ASME B16.5 / B16.47 / EN 1092-1
  • Bore diameter (full bore or reduced bore per datasheet)
  • Stem diameter, stem thread, and packing gland depth
  • ISO 5211 actuator mounting interface dimensions
  • Recorded against approved drawing number with inspector sign-off

PACK

Packing List

Every Order

Document Contains

  • Line item number and tag number cross-referenced to purchase order
  • Heat number (body, bonnet, trim) — traceable to MTC
  • Serial number / valve number per Vajra numbering system
  • Net weight, gross weight, package dimensions
  • Number of packages and package markings
  • GST invoice number, E-way bill for domestic; commercial invoice for export

The following documents are included automatically where applicable to the service, or available on request. Specify requirements at RFQ stage for inclusion in the quotation scope.

PMI

Positive Material Identification (PMI) Report

Included automatically for all alloy valves: SS 316/316L, Duplex, Super Duplex, Hastelloy, Inconel, Monel, Titanium

  • XRF (X-ray fluorescence) analysis of alloy composition
  • Results compared against ASTM/EN specification limits
  • Element-by-element reading: Cr, Ni, Mo, Mn, Si, Co
When required: All SS, duplex, and alloy valve orders (automatic). CS valves on request.
IBR

IBR Form III-C / Form IV

For all valves in IBR scope: steam service above 1 kgf/cm2 and/or 220mm bore

  • IBR Form III-C: Manufacturer's Certificate of Construction
  • IBR Form IV: Inspector's Certificate (issued by licensed IBR inspection agency)
  • Material identification with ASTM/IS material standard reference
When required: Steam service valves within IBR scope — mandatory for Indian plants.
NABL

NABL-Accredited Material Test Certificate

On request — for projects requiring NABL lab certification (OISD, PESO, client spec)

  • Chemical composition from NABL-accredited laboratory
  • Mechanical properties: tensile, yield, elongation, impact (Charpy)
  • NABL accreditation number on certificate header
When required: OISD 118 projects, PESO-regulated plants, EIL/PDIL specifications requiring NABL.
FIRE

Fire-Safe Test Certificate (API 607 / API 6FA)

For valves with fire-safe design designation

  • API 607 / API 6FA fire test certificate from accredited facility
  • Confirms pressure containment and acceptable seat leakage post-fire exposure
  • Fire test report number and facility name
When required: All fire-safe designated valves: oil & gas, refinery, LNG, chemical service.
PMI-NACE

NACE MR0175 Compliance Declaration

For sour service (H2S environment) valve orders

  • Hardness test results: Rockwell B (HRB) or HRC per NACE limits
  • Carbon equivalent (CE) for CS components
  • Material heat treatment compliance statement
When required: Sour gas, H2S service, wet H2S, amine service, acid gas injection.
COAT

Coating & Surface Treatment Report

For coated valves, FBE-coated valves, or where paint system is specified

  • Surface preparation grade: Sa 2.5 / St 3 per ISO 8501-1
  • Primer DFT (dry film thickness) in microns
  • Intermediate and finish coat DFT per ISO 12944
When required: Coated valves, subsea/offshore valves, fusion-bonded epoxy (FBE) pipeline valves.
GA

General Arrangement (GA) Drawing

On request or per purchase order requirement

  • Overall dimensions: face-to-face, flange OD, height, weight
  • Actuator envelope dimensions (for actuated valves)
  • Mounting bracket interface drawing
When required: EPC projects requiring engineering drawings for P&ID verification, piping design, nozzle loading calculation.
INSPR

Inspection Release Note (IRN)

For orders with TPI witness requirement

  • TPI agency name and inspector identity
  • Witness and hold points cleared (reference to ITP)
  • Any outstanding punch list items and disposition
When required: All TPI orders — no despatch before IRN received.
PRESVN

Preservation & Storage Report

For long-shelf, offshore, and export orders

  • Preservation method: VCI film, rust-preventive oil, nitrogen purge
  • End cap and flange protector confirmation
  • Storage temperature and humidity compliance (where climate-controlled)
When required: Export orders, offshore valves, project stock held over 3 months.
EPC Projects

Manufacturer's Data Record (MDR)

For EPC contractor and major plant orders, Vajra compiles a full Manufacturer's Data Record (MDR) — the complete dossier of all documentation organised by section as specified in the purchase order or project documentation requirement (DR).

MDR format can be compiled to EIL, PDIL, L&T, Technip, KBR, Bechtel, or owner-standard formats. Both hard-copy bound dossier and digital PDF (indexed, bookmarked) are available.

To request MDR compilation:

State MDR requirement in your purchase order or at RFQ stage. Include the DR (Documentation Requirement) list or reference the project standard. We confirm MDR deliverables and submission dates in the Order Acknowledgement.

No despatch without documents. This is enforced operationally — not as a policy statement. The despatch release checklist requires all document package items to be confirmed before the physical shipment is released. Buyers should not need to chase documents after delivery.

Documentation FAQ

What is an EN 10204 3.1 MTC and why does it matter?

EN 10204 3.1 is the international standard for material test certificates. A 3.1 certificate is issued by the material manufacturer and validated by their authorised representative. It is traceable to the specific heat number of the material in your valve — meaning you can verify the chemical and mechanical properties of the exact heat of steel used. This is the minimum standard required by EPC contractors, refineries, and most industrial plants. All Vajra orders include 3.1 MTCs as standard.

Can I get a Type 3.2 certificate (independent lab)?

Yes. Type 3.2 certification — where the MTC is validated by an independent, accredited inspection body rather than the manufacturer's own QC representative — is available on request. Specify at RFQ stage. Additional cost and lead time may apply.

What is a Manufacturer's Data Record (MDR) and can Vajra compile one?

An MDR is a complete compiled dossier of all documentation for a valve order: commercial documents, material MTCs, test records, TPI records, special certificates, and engineering drawings — organised by section. Vajra compiles MDRs to EIL, PDIL, L&T, Technip, KBR, Bechtel, or owner formats. State MDR requirement at RFQ or PO stage.

What happens if a document is missing after delivery?

Document gaps after delivery are treated as non-conformances. Contact sales@vajravyuh.com or +91 9979774557. Missing documents are traced, compiled, and sent within 24-48 hours of the request. However, our process is designed to prevent this — no despatch is cleared without the full document package confirmed.
