Six Procurement Concerns — Answered Directly

Industrial buyers are not buying valves. They are buying lower career risk. Every section below addresses a specific fear that procurement teams have when onboarding a new valve supplier.

Fear 1: The vendor won't have the right documentation.

Every Order Ships with a Complete Document Package

EN 10204 3.1 Material Test Certificates traceable to heat number. Hydrostatic shell and seat test report per API 598 / ISO 5208. Dimensional inspection report. PMI report on all alloy valves. IBR Form III-C / IV for steam service. These are not extras — they are the standard. Document compilation starts before production, not after despatch.

EN 10204 3.1 MTC — traceable heat number to finished valve
API 598 / ISO 5208 pressure test report — every valve, every order
NABL-accredited test certificates available on request
IBR Form III-C / IV for all IBR-scope steam service valves
PMI (XRF) report standard for all SS, duplex, and alloy valves

Fear 2: The vendor won't respond quickly enough for our project timeline.

RFQ Response Within 4 Working Hours — Or We Tell You Why Not

We acknowledge every RFQ within 1 working hour. Technical review is complete within 4 working hours for standard valve specifications. For complex or exotic material requirements, we provide a timeline for technical offer within the first contact response. We do not sit on enquiries. Every RFQ is logged, reviewed, and assigned immediately.

1-hour RFQ acknowledgement — WhatsApp, email, or phone
4-hour technical commercial offer for standard specifications
Urgent / shutdown supply handled as priority — same-day response
Order placement acknowledged within 2 hours of PO receipt
Dispatch notification with tracking detail sent same day as shipment

Fear 3: The vendor isn't really a manufacturer — just a trader with no technical capability.

Engineering-Controlled Manufacturing — Not a Catalogue Trader

Vajra Industrial Solutions operates an engineering-controlled manufacturing and supply system. Selected valve types are manufactured under the Vajra brand to our engineering specifications, with defined production controls, material traceability, and QC sign-off at every stage. For broader project requirements, our supply capabilities extend across the full range of industrial valve types — always with technical review before acceptance and full EN 10204 3.1 documentation.

Vajra-branded industrial manufacturing for core product lines
Technical review of every order before acceptance — not automatic
Partner manufacturers qualified on technical and quality criteria
Inspection Test Plans prepared for every TPI order
Sub-Vendor Approval co-ordination available for EPC projects
How our supply model works
Fear 4: If something is wrong with the valve, there is no accountability.

Defined Technical Accountability — One Contact, Full Responsibility

When you place an order with Vajra, you have one accountable point of contact: us. We do not deflect to manufacturers. We co-ordinate warranty claims, replacement sourcing, and non-conformance resolution directly. Every valve is dispatched with a batch number, heat number, and order reference traceable in our system. If a valve does not meet specification on arrival, we manage the response — no circular finger-pointing.

Single point of accountability for quality non-conformances
Traceable heat number and order reference on every despatch
Non-conformance reports (NCR) raised and managed by Vajra
Replacement sourcing prioritised for production-critical failures
Warranty documentation provided with every order on request
Our quality system
Fear 5: The vendor doesn't understand our industry or application.

Application-Specific Technical Review — Not Generic Recommendations

Our technical team reviews every RFQ against the operating conditions stated: pressure class, temperature, fluid service, flow rate, actuation requirement, end connections, and material specification. We identify specification conflicts before production — not after. For oil & gas, petrochemical, power, pharma, water treatment, and EPC projects, we understand the relevant standards (API 6D, NACE MR0175, ASME B16.34, IBR, PED) and flag when a stated spec does not match the referenced standard.

API 6D, API 598, ASME B16.34, ISO 5208, NACE MR0175 — applied correctly
Sour service material selection per NACE MR0175 / ISO 15156
IBR compliance review for all steam service enquiries
Cryogenic service: extended bonnet, A352 LCC material verification
Fire-safe designation: API 607 / API 6FA compliance confirmed before offer

Fear 6: Delivery will be delayed without warning.

Transparent Delivery Commitments — With Early Warning on Delays

Every quotation states a lead time with a basis: ex-stock, made-to-order, or subject to manufacturer availability. We do not quote fictitious lead times to win the order. If a delay arises post-order, we notify within 24 hours of learning of it with a revised date, cause, and mitigation options. For shutdown and turnaround requirements, we operate an urgent sourcing protocol with same-day acknowledgement and 48-hour stock verification.

Lead times stated with basis in every quotation
Delay notification within 24 hours of identification
In-transit tracking updates provided on export and long-distance shipments
Ex-stock items dispatched within 1-3 working days from Vadodara
Urgent/shutdown supply protocol with 48-hour stock verification

Vajra vs. A Standard Trader

The industrial valve supply chain has many intermediaries. Here is how our operating model compares to a standard trading operation on the dimensions that matter to procurement.

Aspect
Standard Trader
Vajra Industrial
Technical Review
Forwards your spec to a manufacturer unchanged
Reviews application, identifies specification conflicts, advises before ordering
Documentation
Provides what the manufacturer sends — sometimes incomplete
Compiles complete document package before despatch — MTC, test reports, IBR forms, PMI
TPI Co-ordination
Passes TPI contact to manufacturer — buyer manages inspection
Prepares ITP, schedules inspector access, compiles inspection release note
Non-Conformance
Refers buyer back to manufacturer
Raises NCR, manages resolution, co-ordinates replacement sourcing
Urgent Supply
Standard lead time applies — no urgency protocol
Urgent sourcing protocol: same-day acknowledgement, 48-hr stock verification
Sour Service
Supplies 'NACE-compliant' without hardness verification
Hardness test on all pressure parts, PMI on alloys, documented NACE compliance trail
Response Time
24-72 hours typical
1-hour acknowledgement, 4-hour technical offer for standard specs
AVL Registration
No structured onboarding support
Dedicated vendor registration page, all documents compiled within 24-48 hours

Procurement Risk — Systematically Reduced

Every risk below is real. Every reduction measure below is operational — not a marketing promise.

Specification Error

Technical review on every RFQ. Specification conflicts flagged before order acceptance. We do not process orders we cannot execute to the stated specification.

Documentation Gap at Handover

Document package compiled before despatch. No shipment released without MTC, test certificate, and dimensional report in the package.

TPI Failure / Surprise at Inspection

ITP prepared in advance. Inspection co-ordinated by Vajra. All test data reviewed by our quality team before inspector arrival. No surprises at inspection.

Wrong Material (PMI Failure)

XRF-based PMI on all alloy valves as standard. Carbon equivalent verified for CS valves on sour service orders. Wrong-alloy risk eliminated before despatch.

Delivery Delay / Schedule Impact

Lead time basis stated in quotation. Delay notifications issued within 24 hours. Expediting contact available on all made-to-order items.

Non-Compliant Valve Post-Handover

Vajra is the accountable party — not the manufacturer. NCR management, replacement sourcing, and resolution are co-ordinated by us.

The Standard We Hold Ourselves To

Zero Documentation Gaps

Every shipment released with complete document package. MTC, test report, dimensional inspection, and packing list before despatch — not after queries.

Response Within Hours

1-hour acknowledgement. 4-hour technical offer for standard specifications. Not the next day. Not pending. A working technical response within a business morning.

One Number, Full Accountability

+91 9979774557. If there is a quality issue, a delivery concern, or a document query — this number answers and resolves it. We do not redirect to manufacturers.
